Streamlined, connected, and productive: Carlsen Verlag’s new intranet solution

The Project

Carlsen Verlag sought a solution to improve their internal communication and information sharing processes for their 200 employees. Since the combination of Teams and Confluence was no longer sufficient, the organization had to adopt more adequate tools, namely, Microsoft 365 and SharePoint. After thorough analysis, we identified the following pain points:

  • The existing content in Confluence was not well-structured. This made it hard for team members to find what they needed, causing confusion and slowing down collaboration. 
  • On top of this, the employees were overwhelmed with an excessive amount of data, making it difficult to access the most relevant information.
  • Finally, sharing information across different platforms led to compatibility issues, data silos, and inefficiencies.

The Goal

Naturally, the goal was to create an intranet that would solve these challenges and support Carlsen Verlag’s employees better. They key features of the new intranet would include:

  • Quick Information Access: A system where users can quickly find the information they need. 
  • Structured Content and Layout: Standardized layouts and well-organized information. 
  • Ease of Use: Ensuring the platform was intuitive and easy for employees to use. 
  • M365 Integration: Seamless integration with Microsoft’s ecosystem. 
  • Centralized Information Hub: Creating a single, central location for all key company information. 
  • Modern and Inclusive Design: Reflecting Carlsen’s values of modernity and diversity. 
  • Guidelines for Content: Clear rules for the provision and management of information. 

Our Approach

We leveraged our expertise in digital workplaces and intranet development to support Carlsen in designing a structured, user-friendly intranet. Through workshops and regular Q&A sessions, we provided best practices, offering insights into how to create a system that would meet their needs.

Content Structuring

Migrating large volumes of content from Confluence required a meticulous review to determine relevance.

Identifying what information was useful across departments and what could be discarded.

Managing and organizing the vast flood of information to prevent content chaos.

Results

From initial planning to implementation and go-live, the entire project was realized over the course of 9 months. The centralized system offered streamlined communication and better process optimization. To note, the process did not only result in a functional and modern intranet, but also it fostered a sense of ownership and collaboration among Carlsen’s employees, as they actively participated in change management.
